Job Title: Purchasing & Materials Specialist
Location: Dallas, TX (On-site / Shop Floor & Office Hybrid)
Position Type: Full-Time, Entry-Level / Early Career
Reports To: Operations Manager
Position Summary
The Purchasing & Materials Specialist supports our manufacturing production by purchasing required materials, maintaining job kits, tracking open vendor orders, and keeping purchasing and work-order records accurate. This role works closely with Operations, Engineering, shop personnel, and vendors to ensure materials are available when needed and shortages are identified before they delay production. The ideal candidate is an organized recent graduate who is comfortable with data, spreadsheets, ERP systems, and working directly with physical materials on the shop floor.
Key Responsibilities
- Purchasing & Tracking: Purchase parts and materials for production jobs; track vendor lead times, backorders, and delivery dates to ensure on-time arrival.
- Data & Records Management: Create and maintain purchase orders, receipts, and invoice records; keep Sage ERP purchasing, material, and work-order information highly accurate.
- Inventory & Kit Reconciliation: Review Bills of Materials (BOMs), maintain complete job kits/totes, and help resolve discrepancies between system records and physical materials on the shop floor.
- Cross-Functional Coordination: Identify shortages and proactively coordinate with Operations, Engineering, and vendors to mitigate production delays.
- Process Improvement: Use Excel to organize and reconcile purchasing and material data; assist with improving strategic stocking and production processes.
Preferred Background & Skills
- Education: Bachelor’s degree in Supply Chain Management, Operations Management, Industrial Distribution, Data Management, Business Analytics, Logistics, or a related field (Recent graduates are highly encouraged to apply).
- Technical Skills: Comfortable with Excel and spreadsheet data; familiarity with ERP or MRP systems (Sage 100 experience is a strong plus).
- Core Competencies: Strong organization, deep attention to detail, and the ability to manage multiple jobs and priorities.
- Work Environment: Strong communication skills with vendors and internal teams; willingness to work both at a desk and actively on the shop floor.
